How do I use Zocks with a shared line or a software-based phone solution?

Zocks has a full 360-degree coverage for Phone Calls. Whether you are using your personal mobile number, a landline, an office phone with shared call-out numbers, VOIP, or UCaaS solutions like RingCentral or GoTo Connect, you can add the AI Assistant to the call and Zocks will process a meeting summary.

By default, we recommend you to link your phone number to your account as this allows you to save the Zocks AI Assistant to your contacts but this method only works, if you have a private mobile or landline number. If you use a shared landline or a virtual or software-based phone system, you likely share the same outgoing number in the office. Even, if you have different phone numbers with your colleagues, the caller ID usually switches to the same number when contacting a client so you need to opt for the Shared Phone Line support option.

How do I enable the Shared Phone Line support on my account?

  1. First of all, please make sure that this feature is available in your subscription tier. Navigate to the Setup - Settings page and select the Shared Phone Line menu. If there is a 'Get Feature' button on this screen, you need to upgrade your account and move it to a higher tier to get access to this feature.

  2. You can enable the Shared Phone Line support on the entire account by switching on the toggle in this menu.
    Please note that only Account Owners or Admins can manage this setting.

  3. Once this setting is enabled, a new box will appear on the Upcoming menu to support your client phone calls.

  4. In the Setup - Settings - Shared Phone Line menu you can select the Phone Call provider of your choice as Zocks provides smart defaults for multiple providers.
    If you don't use a software-based (virtual) phone solution, you can leave the corresponding setting empty. If you use any other type of shared phone line or a provider that is not on the list, also leave the setting empty.

  5. Based on your country and state, you can select a preferred phone number for your AI Assistant.

How do I use the Shared Phone Line feature?

Based on your preferences in the Setup - Settings - Shared Phone Line menu Zocks provides you a smart call-out box in the Upcoming menu.

  • If you use a shared landline, please click on the Upcoming - Start Call button to get access to your AI Assistant phone number and the unique extension you need to use to add the AI Assistant to your call. These unique extension codes are time-limited to make your account more secure. You can call the AI Assistant first and add your client's number to create a Group (or Conference) call to avoid making your client wait or you can do it the other way around depending on your preference.

  • If you use a software-based call-out or call center solution like RingCentral, Zocks has built-in connection settings. Once you configure the provider in the Setup - Settings - Shared Phone Line menu, Zocks gives you two options on the Upcoming menu. If you are already in a call with your client and want to add the AI Assistant to it, please click on the 'Add to ongoing call' button. This will display the phone number and unique extension of your AI Assistant so that you can call it in as an extra participant.
    If you would like to start a new call and add your client later, please click on Start Call. Zocks will try to launch a new call with the selected provider in the background. However, you can always use the AI Assistant phone number with the unique extension code at the end as a fallback option. Once the call with the AI Assistant is in progress, you can add your client as a new participant.

If you can’t find your preferred provider on the default list, you can still call the Zocks AI Assistant phone number with the unique extension or add it to an ongoing call.

Shared Phone Line - Security Settings

To protect your client information Zocks uses time-limited join codes. These unique extension codes at the end of the phone number identify you and they only have a limited validity period so please make sure you don't re-use them for multiple calls.

You can also add an extra layer of security by enabling phone filtering. You can do this in the Setup - Settings - Shared Phone Lines menu. At the bottom of this screen, you can add the phone numbers that are assigned to your office so only callers from these numbers can call your AI Assistant (you need to enter the outgoing number). If you leave this option empty, Zocks won't apply any filtering on the incoming AI Assistant call.
