The integration between Zocks and Practifi is designed to save advisors time, automate administrative tasks, streamline workflows, and leverage AI-powered insights to better serve their clients.
The two-way integration allows for keeping Contacts and Households records up to date between the platforms, and the automated syncing of Meeting Notes, Tasks, Emails and field level client data captured by Zocks from virtual, in-person and phone conversations. Zocks' AI capabilities can access historical client data and email communications stored in Practifi through its “Ask Anything”, Email Reply, Form Fill, and Meeting Prep AI Agents, to speed advisor tasks and workflows.
How to Enable the Integration
1. Log in to Zocks. Go to Profile Settings (Left Nav), and then go to Integrations (2nd Tab).
2. Go to Connect to CRM > Select “Connect” to Practifi.
3. Enter your Practifi Credentials.
Configuring Your Set Up
While Zocks has worked with Practifi to create a default “out-of-the-box” integration template, it is highly recommended that you reach out to our team for initial set up assistance.
You will require assistance if you want to utilize automated contact or household syncing, and we know that many firms have custom data objects where data should be stored or pulled from. Zocks has designed its CRM Integration Layer to provide flexibility and ease in mapping the Zocks structured data into specific objects. If you have customizations, or want to explore options, get in touch with our team to discuss in more detail.
1. Once connected to Practifi > Select the “Gear Icon” next to the “Disconnect” button to view the default settings.
2. Mappings: Meeting Summaries generated by Zocks will by default be saved to ‘Notes’ in Practifi and stored on the Household record. Get in touch with our team at [email protected], if you wish to map to another object or entity.
3. Contact Sync: By default, Zocks will not automatically sync your contacts from Practifi. If you wish to synchronize your contacts automatically, get in touch with our team at [email protected]
4. Tasks: You can set the default task due date for tasks created by Zocks. These can be overridden on individual tasks before syncing to Practifi.
Saving Meeting Notes, Creating Tasks and Updating Client Data in Practifi
Saving Meeting Notes in Practifi
When saving Meeting Summaries and Meeting Notes to Practfi, you have two options:
1. Meeting Summary
To save a Meeting Summary in Practfi, select the ‘Save to Practifi' button to continue…
Search for the Contact or Household you wish to associate with the Meeting Summary, make any edits to the meeting notes, and select ‘Save’ to sync your Meeting Summary to Practifi.
2. Meeting Detail Export
Alternatively, you can export all of the Meeting Details to Practifi, by utilizing the Export > ‘Save to Practifi’ option in the tool bar.
Creating Tasks in Practifi
Similarly with Zocks Follow Ups, you can create and sync Tasks and assignments with due dates and priorities to Practifi.
To create Tasks in Practifi, select the ‘Practifi Icon’ in Follow Ups to continue…
Search for the Contact or Household you wish to associate with the Tasks, make any edits to the due dates, priority or assignments, and select ‘Save’ to sync your Tasks to Practifi.
Updating Client Data in Practifi
Zocks can also compare the data you have for a client in Practifi and identify any new or changed data captured during the conversation.
To begin, select the ‘Practifi icon’ next to the client from the Meeting Summary
Search for the Contact in Practifi you wish to analyze, make any selections or edits to the data, and select ‘Update CRM’ to sync your updates to Practifi.
