You can connect your SmartOffice CRM account to Zocks to push notes and tasks to your CRM and update contact records. The SmartOffice integration uses the same advanced CRM layer that Zocks implemented platform-wide so you have access to all the two-way structured data synchronization options available.

You can perform:

Zocks provides out-of-the-box smart defaults for SmartOffice users, but with our Elastic CRM layer, custom mappings for data objects and advanced workflows are also available.

How do I link my accounts?

  1. First, please log in to your SmartOffice account using your office, username, and password. Then, go to Setup - Office Settings - User Accounts - User Rights - Licenses - Integration, and enable the 'ZocksAI' integration.

  2. Then, log in to your Zocks account and navigate to the Profile Settings - Integrations tab. Scroll down to the CRM integration section and select SmartOffice by clicking Connect.

  3. Next, you’ll be asked to enter your Site Name, Office Name, and User Name.
    To find your Site Name, please go back to SmartOffice and navigate to User Accounts - User Preferences - Basic Info. Locate the Corporate Key and use its value as your Site Name.

    For the Office Name and User Name, use the same credentials you use to log in to SmartOffice.

  4. Click Send Code, and if the information was entered correctly, a confirmation email will be sent to your SmartOffice email address. This email will include a one-time password. Please enter the one-time password on the next screen in Zocks to complete the connection.

  5. Once the connection is established, you can customize the settings and configurations under the gear icon.

How do I tailor the CRM setup to my workflow?

Select the “Gear Icon” next to the “Disconnect” button to view the default settings.

Mappings allow you to specify where your meeting notes get saved in the CRM and what contact object in SmartOffice you would like to sync with Zocks Contacts.

You can enable and disable contact synchronization between Zocks and SmartOffice.

You can set a default due date for the Tasks that Zocks creates after your meetings.

How do I save my meeting notes to SmartOffice?

When opening a client meeting from the Past Meetings section you will be able to save all results or individual sections to your CRM from:

  • The Export dropdown in to upper right corner.

  • On the Meeting Summary tab with the Save to SmartOffice buttons

  • On the Meeting Summary and Form tabs by clicking on the SmartOffice icons

You can specify the Contact that you would like to associate the notes to in the Contact dropdown.

How do I save my Tasks to SmartOffice?

When opening a client meeting from the Past Meetings section, you will be able to save all tasks to SmartOffice by clicking the SmartOffice icon in the Follow-Up Tasks section on the Meeting Summary tab.

You can specify the user that you would like to assign the tasks to as well as the due date of the task and the category in the modal window.

How do I update contact information in SmartOffice from Zocks?

You can update existing SmartOffice contacts with new information learnt during a meeting by opening your meeting in the Past meetings section and clicking the SmartOffice icon next to your Contacts name in the configure assignment section.

Zocks is going to show currently stored client information in SmartOffice and show the updates automatically learned during the meeting. By clicking Save you will update Conatct information in the CRM.
