Data privacy and staying compliant is critical in maintaining client trust so Zocks has a host of consent and compliance tracking features that can automate these processes.

The Compliance Notice Engine works in tandem with the Consent Tracking features and these can be enabled under the Setup - Settings menu. The Compliance Notice is meant to announce to your client that an AI notetaker is taking part in your call and this consists of two elements:

You can enable an Audio Announcement for when Zocks joins a meeting. The audio played can announce that an AI note-taker is participating in the call. We’ve created a default message to be played, but this can be customized with your own message, unless your Account Owner or firm enforces a specific message on your account.

As an additional option, Zocks can now also display a custom image with a disclaimer when joining a call. Like the Audio Announcement, this can be customized with your own message, unless your Account Owner or firm enforces a specific message on your account.

The Visual Display is essentially a profile picture for the AI Assistant when it is in the call so you can also use it to display your own custom logo.

Zocks has a strict 'no recording' policy so your clients can feel safe about the privacy of the important details they share with you but still, it is important to clearly display that you use an AI tool to help with note-taking. When joining an online call, your client will receive an audio notification about Zocks taking part in the call and they will also see a participant picture with 'AI notetaker' clearly labeled on it.

Zocks provides default that work right out of the box, you can switch one or the other on or use both options in tandem. You can also customize these messages by uploading your own audio file and custom picture.

If your firm has an internal policy requiring these client notices, the Account Owner can enforce this setting on all users under the account. Please note that the Compliance Notice customization is not available in all subscription tiers so you might need to upgrade your account depending on your current subscription tier.

Currently the Compliance Notice works on Zoom but we are gradually rolling it out to all supported meeting platforms and the voice message part will also be available in phone calls.
