Create a personalized Follow-up Email

Within the Template Library, you can create a personalised Follow-Up Email template and assign it to your meeting types so every post-meeting email reflects your communication style.

What the Follow-Up Email Template Does

  • Automatically generates a follow-up email after a meeting based on the notes captured.

  • Summarises action items for both the client and the advisor.

  • Can be personalised with your own tone, structure, and closing remarks.

Step-by-Step Guide

Option A - Create it from within a meeting type (recommended)

Use this if you want the template applied to one specific meeting type. Because you're creating it at a "usage location," it's activated for that meeting type automatically - no separate assignment step.

  1. Go to Setup → Meeting Types.

  2. Click the meeting type you want the follow-up email to apply to.

  3. Find the Follow-Up Email template on the meeting type and choose Duplicate to create your own editable copy. (The Global "Follow-Up E-mail" template is a system template created by Zocks and can't be edited directly.)

  4. In the Duplicate dialog, enter a Name and update the Description if needed.

  5. Set the Access level (see the note below).

  6. Click Duplicate. Your copy opens in the editor.

  7. Edit the template to match your communication style — opening line, section headings, and closing remark. Keep the bracket placeholders such as [Recipient's Name] and [Financial Advisor's Name] where you want Zocks to fill in information automatically.

  8. Click Save.

Your template is now active for that meeting type. You don't need to assign it separately.

Option B - Create it in the Template Library, then assign it

Use this if you're building a template to reuse across several meeting types, or you just prefer to start from the library. Note that creating it here does not apply it anywhere on its own - you assign it in a second step.

  1. Go to Setup → Templates. All templates are listed here.

  2. Find the Global "Follow-Up E-mail" template. It's a system template created by Zocks and can't be edited directly.

  3. Click Duplicate to create your own editable version. (If you're starting from a custom template instead, you can click into it and edit it directly.)

  4. In the Duplicate dialog, enter a Name and update the Description if needed.

  5. Set the Access level (see the note below).

  6. Click Duplicate. Your copy opens in the editor.

  7. Edit the template to match your communication style, keeping the bracket placeholders where you want Zocks to fill in information automatically.

  8. Click Save.

  9. Assign the template so it gets used. Creating it in the library isn't enough on its own. Do one of the following:

    • Go to Setup → Meeting Types, open the meeting type you want, and select your new template as its follow-up email — it will be used for that meeting type, or

    • Set it as your account default follow-up email template, so it applies to any meeting type that doesn't have its own template assigned.

Until the template is assigned in one of these ways, your meetings will keep using the previous (or system default) follow-up email.

Please note that each follow-up email can still be edited and refined in the past meeting details for that last personal touch.
