Bringing your team onto Zocks is managed from the Team page. This article walks through the whole flow — from sending an invite, to what your teammate sees on their end, to what happens if you run out of seats.
Who can invite people
Inviting and managing users is part of Team Management, which is available to:
Owner
Admin
Account Manager (if your account has this custom role enabled)
If you're a User or Admin Assistant, you see the option to invite people but can’t interact with it — ask your account's Owner or Admin. For more on what each role can do, see Roles and User Groups within Zocks.
Seat types
Every person you invite takes up one of two seat types:
Advisor seats — for Lead Advisors, Financial Advisors, Tax Advisors, and other roles that run meetings and use the AI Assistant.
Admin Assistant seats — for Administrative Assistants and Associate Advisors who support the Advisor team without running meetings themselves.
Your plan includes a set number of each. You can buy more at any time, either from the Plan page or directly from the Team page when you need one.
Inviting one person
Go to the Team page and click Invite.
Enter their name, email address, and role.
Click Send Invite.
If a seat of the right type is free, an invite email goes out right away, and the person appears on your Team list as Pending.
Inviting a batch of people (CSV)
If you're onboarding several people at once, you can invite by CSV instead of one at a time:
From the Team page, choose Bulk Invite.
Upload a CSV with Email Address, First Name, Last Name, and Role for each person.
Zocks checks the file for formatting issues, valid roles, and available seats before sending anything. If something's wrong, you'll get a clear error so you can fix and re-upload.
On success, invites go out immediately and everyone appears under Pending Invitations on the Team page.
If some rows don't have a matching seat available, those specific people are added as Requested instead of blocking the whole batch — see When you're out of seats below.
What happens after you send an invite
For most invitees, joining Zocks is a short multi-step process:
Invite email. The person receives an email with a signup link, valid for 72 hours.
Signup form. Clicking the link lets the person choose between email or social sign-up.
Verification email. After submitting the signup form, a verification email is sent to confirm the address, with a link valid for 24 hours.
Active. Once they click the verification link, they're fully set up with access to Zocks.
If your team signs in via SSO, the verification email step is skipped entirely — the person goes straight from Pending to Active on their first successful SSO sign-in.
While all of this is happening, the person shows up on your Team page as Pending, and their seat is reserved for them.
If an invite link expires
Invite and verification links expire if they're not used in time (72 hours and 24 hours respectively). If that happens:
If your account has auto-renewal turned on (the default), Zocks automatically sends a fresh link and lets the person know to check their inbox — no action needed from you.
If auto-renewal is off, the person is told to contact your Account Owner, who can resend the invite from the Team page.
Resending an invite reuses the same record with a new link — it won't create a duplicate entry or use up an extra seat.
When you're out of seats
If there's no free seat left for the role you're inviting, Zocks won't block the invite. Instead, it's saved as Requested:
If you're able to buy seats yourself, a Buy a seat window opens right away showing the new monthly cost and what's due today. Confirm to buy the seat and send the invite in one step, or cancel and it stays Requested with no charge.
If you're not a billing admin, no problem — no invite email is sent yet, and no seat is reserved. The request is saved, and whoever manages billing on your account gets an email so they can take care of it.
Resolving a Requested invite: open the Requested tab on the Team page, where requests are grouped by seat type. The available action depends on whether a seat is already free:
Free seats of that type | What you'll see | What it does |
At least one | Allocate | Hands over the free seat and sends the invite — no charge. |
None | Buy a seat | Buys the missing seat and sends the invite in the same step. |
You can also resolve all the Requested invites together and buy all the requested seats at once.
Requested invites don't expire on their own. They'll sit on your Team page until you Allocate, Buy, or Revoke them, so it's worth checking that tab periodically if your team tends to run close to capacity.
If you'd rather not move forward with a request, use Revoke. This removes it from the list, same as deleting a Pending invite.
Managing your team list
The Team page gives you one place to see everyone associated with your account:
Active — full access, all set up.
Pending — invited, waiting on signup or verification.
Requested — invited, waiting on a seat.
Expired — the invite link timed out without being renewed.
Deactivated — access has been removed.
You can filter by name and role, and sort by name or email, role, status, and date added to quickly find who you're looking for.
Removing access
Deactivating a user is one-way: their login is disabled, permissions are removed, and their integrations are disconnected, while their past meeting data is preserved (and can optionally be shared with a successor). If you need to bring them back later, you'll invite them again as a new record.
Deactivating someone frees up their seat immediately, so it becomes available for the next person you invite or for any Pending Requested invites.
