Microsoft Teams Calls integration

Learn how to connect Microsoft Teams Calls so Zocks can turn your Teams call recordings into meeting notes, summaries, transcripts, tasks, and CRM updates.

Overview

Zocks processes the recordings of your Microsoft Teams calls. It turns them into meeting notes, summaries, transcripts, tasks, and CRM updates.

This integration works only with calls that are recorded in Microsoft Teams. Zocks doesn't record the call.

Please note: Zocks only receives the recording when you start the recording in Teams yourself. If you don't record the call, Zocks can't process it.

What Zocks captures

Zocks receives the recording when you start the recording in these calls:

Call

Captured

Phone call you make or receive in Teams (outbound or inbound)

Yes

Phone call where you add a Teams user

Yes, as one recording

1:1 Teams call (Teams to Teams) that you record

Yes

1:1 Teams call where you add a third person

Yes, as one recording

Group Teams call that you start and record

Yes

Zocks does not receive the recording in these cases:

Call

Why

1:1 Teams call where the other person records

The recording belongs to the other person.

Group Teams call that someone else starts

The recording belongs to the person who started the call, even if you record it.

Scheduled Teams meeting, Meet now meeting, or a meeting with a phone participant

These are meetings, not calls. For meetings, the Zocks AI Notetaker joins when you sync your calendar or invite it to the meeting.

Call that comes in through a Teams call queue

Call queues aren’t supported.

Before you begin

Make sure that:

  • You have a Microsoft 365 work account with Microsoft Teams.

  • You have a Teams Phone license with a phone number, if you make or receive phone calls in Teams. You don't need one for Teams to Teams calls.

  • Your administrator allows call recording in Teams. See Admin setup.

  • Your administrator approves Zocks access to call recordings, if your firm manages your Teams account. See Admin setup.

How to connect Microsoft Teams Calls

  1. In Zocks, go to Integrations > Calls.

  2. Select Microsoft Teams Calls, then click Connect.

  3. Sign in with your Microsoft work account.

  4. Make sure that the status shows Connected.

Call capture starts as soon as you connect. You don't need to change any other setting.

Please note: If you see Need admin approval, send the approval link on the card to your IT team. After they approve, connect again.

How to disconnect

To stop call capture, go to Integrations > Calls and disconnect Microsoft Teams Calls.

How to record a call in Microsoft Teams

  1. Make or answer the call in Teams.

  2. Select More (…) > Record and transcribe > Start recording.

  3. End the call when you're done.

The Audio only recording option is also supported.

What happens after the call

  • The meeting shows after the call ends. Zocks doesn't show the call while it's in progress.

  • It usually takes 1–2 minutes. Teams can sometimes take up to 1 hour to make the recording available.

  • One meeting for each recording. If you stop and start the recording again in the same call, Zocks creates one meeting for each recording.

  • Only the recorded part. The meeting covers the time from the start to the end of the recording.

  • No match to a scheduled meeting. Zocks creates a new meeting for each recorded call.

  • Only calls after you connect. Zocks doesn't process older recordings.

Zocks creates its own transcript from the recording. It doesn't use the Teams transcript.

Admin setup

Your Microsoft 365 administrator completes these steps once for the whole firm.

Step 1: Allow call recording in Teams

Cloud recording for calls is off by default.

  1. Sign in to the Teams admin center.

  2. Go to Voice > Calling policies.

  3. Select the policy your advisors use, for example Global (Org-wide default).

  4. Turn on Cloud recording for calling.

  5. Optional: turn on Transcription.

  6. Click Save.

To do this in PowerShell instead, run:

Set-CsTeamsCallingPolicy -Identity Global -AllowCloudRecordingForCalls $true

Please note: Policy changes can take a few hours to apply.

Step 2: Approve Zocks access to call recordings

Zocks uses the same Microsoft app as the Outlook Calendar integration. Zocks reads call recordings with the CallRecordings.Read.All permission, which requires admin approval.

  1. Open the approval link on the Microsoft Teams Calls card (or the Outlook Calendar card).

  2. Sign in as a Microsoft 365 administrator.

  3. Review the permissions and click Accept.

Important notes: If your firm already approved Zocks for Outlook Calendar, approve it again. The call recording permission is new.

Recording, storage, and retention

  • Teams saves the recording in the OneDrive of the person who started the recording. Your firm's Teams settings control storage and retention.

  • Zocks takes a copy of the recording and processes it.

  • Your firm is responsible for recording consent, storage, and retention under its internal policies and applicable regulations.

No. Teams sends the recording after the call ends.

Does this work with Teams meetings?

No. For meetings, the Zocks AI Notetaker joins when you sync your calendar or invite it to the meeting.
