How to use Zocks Live Meetings: step-by-step guide covering meeting preparation, live meeting view and AI assistant controls.

We're excited to introduce Zocks Live Meetings, where Zocks becomes your live companion during meetings, helping you access meeting preparation, your agenda, a notepad and the Ask Anything AI Assistant right there with you during meetings.

What's New

The Live Meeting feature brings several key improvements to your meeting experience:

Upcoming meetings

The Upcoming Meetings list now features a refreshed design and several small, yet impactful improvements to boost your productivity.

What’s Improved:

  • Start an In-Person Meeting: You can now start an In-Person meeting directly from the Upcoming Meetings list. Just go to Meeting Tools and choose "Start Live Meeting" for a seamless launch.

  • Contact-Based Filters: We’ve enhanced filtering: you can now filter your upcoming meetings by contact, helping you zero in on the people you need to see most.

  • Enhanced Auto-Join Display: We’ve improved how Zocks shows whether it will automatically join each upcoming meeting, based on your filters. Need to change this for a specific meeting? You can override the auto-join status at any time, and later set it back to follow your filter rules.

Did you know?
You can create and save your own quick filters for the Upcoming Meetings list. Set them up once and use them anytime to instantly access your favorite meeting views.

Meeting Preparation

Meeting prep remains available from the upcoming meetings list but comes with an updated view to seamlessly fit into the new unified meeting view experience. The meeting prep view now gives you significantly more context than before.

Key Context Elements:

  • Meeting title - can now be changed even before meetings begin

  • Participants list - expand by clicking "Add Participants" to include additional attendees

  • Meeting type - easily changed with one click in the top right corner, similar to the past meeting summary view
    Note: If the meeting type changes, don't forget to rerun the meeting prep.

  • Notepad - take internal notes that'll follow through the entire meeting lifecycle

The core meeting prep features you're familiar with remain fully available, including the Meeting Prep Summary, Meeting Prep Email, and Ask Anything AI Assistant, all readily accessible from this unified interface.

Convert to In-Person Meeting - Available before the AI assistant joins online. Use this if a meeting link has been mistakenly added to an in-person meeting and therefore Zocks detected it as an online meeting. The meeting can be converted into an in-person meeting before the AI assistant joins online.

Live Meetings List

In the menu bar on the left side, there's now a Live Meetings menu that serves as your central hub for managing active meetings.

At the top of the live meetings list, your current ongoing meetings are displayed prominently, along with meetings that are starting within the next 5 minutes.

For online meetings, you can open the live meeting by clicking "View" to access the full meeting interface. You can add the AI assistant if it hasn't joined the meeting yet, and under the three-dot menu, you can remove the AI assistant if you wish. Additionally, until the meeting is joined by the AI assistant, you have the option to convert the online meeting into an in-person meeting in case the meeting link was added by mistake and the meeting is actually taking place face-to-face.

For in-person meetings, you can open the meeting view by clicking "View," and if you're in a currently ongoing meeting, you can also remove the AI assistant from the meeting by clicking "Remove AI assistant."

Below your currently ongoing live meetings, you can access the meeting tools section, where you can start an ad-hoc in-person or phone meetings.

Below your Meeting Tools, your team's live meetings are displayed, which you can open and view as needed.

During Live Meetings

During live meetings, a progress bar will indicate where you are in the meeting progress, giving you a clear sense of timing and flow. You'll now have full meeting context available in Zocks throughout your meeting.

Available Context:

  • Meeting prep - if you've prepared for a meeting using Zocks, all your meeting prep will be right there during the meeting as well, you can also rerun your meeting prep in case you need an updated summary after adding more participants to the call.

  • Participants - you can view and add participants as needed

    • The participants list shows everyone invited (by invite or manual addition), it also displays anyone who’s already joined.

    • For in-person meetings: the participants list comes from your calendar event and any contacts added during preparation or during the meeting itself

  • Ask Anything AI assistant - stands by to answer any questions in real-time, using your past meeting data and connected systems as a source

  • Notepad - take internal notes that will persist throughout and after the meeting

Meeting Controls

Several important controls are available during your live meetings:

Remove AI Assistant - Use this if you would like to remove the AI assistant from the meeting because your client declined consent or in case the AI assistant remained in the meeting after you have ended it. You can now do so easily with one click.

Add Participant – You can use "Add Participants" to include attendees who were not originally invited to the meeting. If you add anyone who does not actively participate (they do not speak during the meeting), they will not be included in the meeting summary.

In-Person Experience

In-person meetings can now be attached to calendar events and after opening the meeting prep view from the upcoming meeting screen you can already start the meeting while having all context.

Ad-hoc In-person Meetings


You can still start ad-hoc in-person meetings that aren’t scheduled or tied to your calendar. These can be launched from the Upcoming Meetings or Live Meetings screens, or by selecting "In-Person Meeting" from the side menu.

Zocks now supports you throughout these ad-hoc meetings. You can:

  • Specify a meeting title (or let Zocks generate one after the meeting if you leave it blank)

  • Add participants

  • Access Meeting Prep tools even while the meeting is already in progress, so you have the right context at any moment

  • Use the "Ask Anything" AI assistant for quick answers or support

Phone Meetings

Zocks now fully supports live phone meetings, which means you can link your phone calls to your meetings whether it's via mobile, landline or a VoIP solution. You'll have your meeting prep, agenda, Ask Anything AI assistant, notepad and full meeting context with you during your phone calls.

How do I prepare for phone meetings?

Previously, we had online and in-person meetings recognized in Zocks without distinction for phone meetings. Now, while non-online meetings are defaulted to in-person, they can be changed to phone meetings on the upcoming meetings screen, live meetings screen and Meeting Prep or Live view, by clicking 'Change to Phone'.

This will mean that instead of the in-person meeting controls, phone meeting controls and info will appear depending on your phone setup. You can change it back to an In-Person Meeting anytime.

How do I start a phone call connected to a calendar event with linked phone?

To start a call connected to your calendar event, simply call Zocks as usual or add the Zocks assistant to your ongoing call, no special steps required. If you have a calendar event scheduled within ±10 minutes of your call, you'll be prompted to either link your call to the scheduled meeting or start an unlinked call.

Press 1 to connect your call to the meeting mentioned by the automated voice assistant.

How do I start a phone call without connecting it to a meeting with linked phone?

When calling Zocks or adding the assistant to an ongoing call, if you have a scheduled calendar event within ±10 minutes, you'll receive the same prompt as above.

To start an unlinked call, select 0 or simply don't press any buttons to proceed with your call independent of any scheduled meetings. Your call will still appear on the Live meetings list as 'Untitled Meeting'. If you click 'View' and open the Live view, you can add your clients as participants, run Meeting Prep, and use the Ask Anything AI Assistant during these ad-hoc calls too

How do I start a call connected to a meeting using shared phone solution?

With shared phone solution enabled, appropriate phone controls will appear at your Meeting Prep and Live views.

You can start calls:

  • early directly from the Meeting Prep screen

  • or when your meeting is 5 minutes or less from starting, it will appear on the live meetings screen where you can launch it directly or access the detailed view by clicking "View" and start the call from there

You have the options to "Start a call" or "Add to an ongoing call" exactly as before. The key difference is that calls started this way are automatically linked to your meetings, providing access to all live meeting controls and features while you're on the phone with your clients.

Alternatively, you can initiate a call connected to your meeting using meeting tools from either the Upcoming screen or Live screen. When you click "Start call" or "Add to an ongoing call", any meetings scheduled within 10 minutes will be listed, allowing you to start your call connected to your live meeting seamlessly.

How do I start a call without connecting it to a meeting using shared phone solution?

For unscheduled meetings or ad-hoc calls, you can start a phone call that isn't linked to a calendar event using the meeting tools from either the Upcoming meetings list or Live meetings screen.

When clicking "Start call" in the meeting tools, you have two options:

  • If you have a scheduled meeting but want to start an independent call: Click "Start a new meeting" or "Add the AI Assistant to a new meeting"

  • If you don't have a meeting scheduled: Simply start the call as you normally would

This flexibility ensures you can maintain professional call management whether working with scheduled client appointments or handling spontaneous consultation requests.

After Live Meetings

When your live meeting ends, you'll immediately be taken to the past meeting screen where you can review meeting summaries, action items, and notes. While the past meeting experience itself hasn't changed, this immediate transition ensures you can quickly capture any final thoughts and access your meeting outcomes without delay.
