Fill out PDF template files with Zocks

Most financial advisory practices and firms rely on standardized client intake forms, data sheets, risk tolerance questionnaires, and similar compliance-approved documents as a core part of their advisory workflow. These forms are carefully structured, with predefined fields and sections that closely align with firm processes and regulatory requirements.

To support these established workflows while adding the full power of AI-driven client intelligence, Zocks allows you to map existing PDF documents as reusable templates within your account. Once mapped, users can populate these traditionally “paper-based” documents digitally with the click of a button, saving time and reducing manual data entry. In practice, this means that after a client onboarding meeting, you can simply click Download to have Zocks automatically fill out your client intake paperwork in your standard PDF format.

As not all PDF documents are configured to support digital fillouts, there are some initial steps that allow the Zocks AI engine to edit the fields in your PDF document, but once initially configured, you can create as many exports as needed for all of your clients.

Zocks includes a powerful built-in Forms tool. Forms can be used as part of specific Meeting Types or run on-demand using contact data, allowing you to automatically collect information from multiple sources (such as past meetings, your CRM, and more) and use it to populate the fields in your predefined forms.

The PDF template fillout feature leverages this Forms engine to complete required fields with accurate, up-to-date data. For each Zocks Form in your account, you can attach a Document Template by uploading an empty PDF, which Zocks will later use as the basis for automated completion.

The resulting document mirrors what you would have filled out manually, but is generated using Zocks’ full AI intelligence suite working behind the scenes to ensure accuracy and consistency.

If your PDF template document is already editable and all input fields are correctly labeled, you can navigate to Setup → Forms, open the corresponding Form (or create a new one), and upload the PDF under the Document Template tab. Zocks automatically suggests matching fields to make the PDF-to-Form mapping configuration easier.

Before importing a PDF template into Zocks, ensure that all input fields are properly configured; otherwise, Zocks will be unable to populate them automatically. This PDF preparation must be completed using a third-party PDF editing tool, such as Adobe Acrobat Pro, Foxit PDF Editor, or Nitro PDF.

At the time of writing this help article, LibreOffice Draw is available free of charge as an open-source option and can be used with great results.

You can use the same Zocks Form to fill out multiple PDF templates, if needed.

Once the initial Document Template configuration is complete, Zocks uses your Forms to populate the PDF documents. As a result, PDF exports work almost identically to standard Form exports.
