Zocks was designed with robust access control, flexible privacy management, and seamless collaboration support from its inception. This ensures that sensitive meeting information is only accessible to authorized participants while allowing teams to work together efficiently across the organization.

Private Meetings extend this architecture with a dedicated privacy framework that protects confidential discussions and provides full visibility control for Account Owners. It enables teams to handle leadership, HR, and client meetings with complete discretion and compliance.

Meeting Privacy

Private Meetings allow organizations to manage and restrict access to sensitive meeting content through account-level settings and meeting-type configuration. The goal is to protect confidential data while maintaining usability and consistency across all teams.

Account-Level Privacy Control

Private Meetings can be enabled or disabled by the Account Owner for the entire organization. Once enabled, Account Owners decide which meeting types are private and manage all related settings. Integrated calendar privacy settings are automatically respected and applied to those meetings.

Private Meetings can be controlled at two levels:

Meeting-Type

You can define privacy globally for a specific meeting type (e.g., “Leadership Team,” “Private Client Check-in”) or When a meeting is private, only invited participants can access its details.

Individual Privacy

You can mark individual upcoming and past meetings as private regarding their meeting type or calendar status.

Visibility and Access

Private Meetings affect visibility across all views in Zocks.

  • Hidden from Non-Participants

  • Private meetings do not appear in any list (Upcoming, Live, or Past) for users who are not invited. If a user lacks access, the meeting is entirely hidden from their interface and dashboards.

Role-Based Visibility

Account Owner

Can enable or disable privacy settings.

Meeting Owner

Can mark meetings as private, manage privacy settings for their meetings, and create custom private meeting types.

Participant

Can access details only if invited.

This system lays the foundation for role-based and team-level privacy, allowing organizations to scale privacy policies according to internal governance rules.

System Behavior

Private Meetings are governed by a persistent privacy model to ensure consistency and compliance:

  • If the Account Owner disables Private Meetings, existing private meetings can remain private.

  • If a meeting type is changed to one without privacy, existing meetings can retain their original privacy status.

  • If a meeting uses a meeting type with privacy enabled, the meeting automatically becomes private.

This design ensures privacy is never lost unintentionally and that historical meeting confidentiality is preserved.
