Redtail as your Scheduling calendar

Redtail activities count toward your availability, and your bookings can land in Redtail.

Zocks Scheduling now works with your Redtail calendar. Your Redtail activities count when Zocks works out your availability, and Redtail can be the calendar your bookings land in.

Before you start

You need 2 things:

  • Redtail CRM connected to Zocks. See Redtail CRM integration with Zocks.

  • Redtail Calendar sync turned on, under Integrations → Your Settings → Calendar.

Without these, Redtail can't be selected as your primary calendar.

Choose what blocks your availability

By default, every Redtail activity type blocks your availability. Turn off the ones that shouldn't.

  1. Go to Integrations → Your Settings → Calendar.

  2. Clear the activity types you don't want blocking your availability.

A task on your Redtail calendar doesn't mean you can't take a meeting, so most users switch tasks off and leave appointments on. Every type still selected keeps holding its time.

This is a user level setting. Each user controls their own.

Make Redtail your primary calendar

Your primary calendar is where your bookings land, and it's the source of truth.

  1. Turn on Redtail Calendar sync under Integrations → Your Settings → Calendar.

  2. Go to Profile → Scheduling → Integrations.

  3. Select Redtail as your primary calendar.

From then on, every booking is created in Redtail: bookings you make yourself, bookings clients make on your page, and suggestions you approve from your AI Assistant.

How bookings land in Redtail

Account admins decide what each booking event becomes in Redtail. The mapping lives with the booking event, under Settings → Scheduling → Event types.

Setting

What it does

Redtail activity type

The activity type Zocks creates in Redtail for this booking event.

Redtail activity category

The category Zocks applies to that activity.

The mapping is set per booking event, so an intro call and an annual review can land in Redtail as different activities. It applies to everyone on the account.

Troubleshooting

1. Redtail isn't in my list of calendars

  • Redtail Calendar sync is off. Turn it on under Integrations → Your Settings → Calendar, then select Redtail as your primary calendar.

2. Clients see times I'm busy in Redtail

  • Check which activity types block your availability, under Integrations → Your Settings → Calendar. Types you've cleared don't hold their time.

3. My bookings aren't showing up in Redtail

  • Redtail has to be your primary calendar. If your primary calendar is Google or Outlook, that's where bookings land.

4. I want a different activity type for one of my events

  • The mapping is set per booking event by an account admin, under Settings → Scheduling → Event types. Ask an account admin to change it.
