Converting paper-based client forms or extracting information from digital PDFs can be a tedious, time-consuming task. Yet it's often essential to have a CRM record prepared before your first meeting with a new prospect.
With your AI assistant, you can automatically generate a pre-filled contact record from any uploaded document, streamlining data entry and accelerating your onboarding process.
How do I create a new contact from a document?
First, ensure that all necessary tools, such as your CRM, financial planning software, or portfolio management system, are properly connected. You can manage these integrations from the Profile → Integrations page.
We generally recommend enabling Contact Sync between your connected tools and Zocks. After linking an integration, you can toggle this setting on by clicking the gear icon and navigating to the Contact Sync tab.
Zocks uses the email address as the primary identifier within the platform and across all connected tools. If a contact exists in multiple systems, be sure to use the same email address to ensure accurate matching.
Navigate to the Contacts page and select "Create from Document".
You can drag and drop any files here that have fewer than 100 pages and are less than 20MB in size. The currently supported file formats are PDF, PNG, JPG.
After selecting the connected system that you would like to first fill with the new client record, please verify the name and email address. These are auto-suggested if they appear in the uploaded document.
Once you click “Create Contact,” Zocks initializes the record in the selected system and your AI assistant begins extracting structured information to complete the contact profile as thoroughly as possible.
After this step is completed, Zocks offers you more workflow steps, so you can create the same contact accross all of your systems or continue with a document summary review.
